If your organization is planning a church event and you wish to use our Kid’s Care Providers, please read and abide by the following guidelines. Our guidelines follow our Ebenezer UMC Child Care Policy and keep us in compliance with the law. They also ensure that we are good stewards of church funds which are used to pay our Kid’s Care Providers.
The guidelines have been established so that Ebenezer UMC can provide childcare during on-site church events. We are blessed to have a paid staff of Kid’s Care Providers who lovingly care for the children during church functions. These providers consider their work to be an important ministry of the church and we are grateful for their service.
How do you schedule Kid’s Care for your event? Fill out a Kid’s Care Request Form, located in the Nursery mailbox or online here and submit to our Kid’s Care Coordinator, Elaina Stanton (659.1349 or 540-623-2987 or 540-324-7991).
We will provide childcare for children ages newborn – 11 years. All attempts will be made to provide childcare for events when it is needed for two or more families. Childcare is provided for programs lasting up to four hours or less. We regret we do not have the facilities to provide all day childcare.
You will need to take advance reservations from those attending your event so that we have the nursery rooms staffed with the correct number of providers. Then, 24 hours before your event, please send the Kid’s Care Coordinator a list including the children’s names and ages. If more children show up for an event than we have hired for, we may not be able to accommodate them. Those with advance reservations will be given priority. Those who do not have reservations will be accepted on a space available basis.
Remember, we must pay the providers regardless if parents bring their children or not. So, if your event is cancelled, please contact the Kid’s Care Coordinator and let her know so she can cancel the workers before they arrive at work.
The Kid’s Care Coordinator will need to know if there are any children with special needs so that we can hire extra staff to help with them if needed; and so that we can be adequately prepared to provide for their particular situation.
Requests must go through our Kid’s Care Coordinator or they will not be honored. Ministries cannot omit the Kid’s Care program and provide their own childcare. Our nursery rooms are reserved for worship services and scheduled Kid’s Care events only.
When hiring providers, state a beginning and ending time. Then, be sure that time is respected and don’t keep the workers past their agreed upon time. Keeping them past their scheduled time with no notice is disrespectful to their personal schedule.
We require two week’s notice for your event so that we have plenty of time to hire staff. We will not be able to accommodate requests that give less than two week’s notice.
We use the two adult rule. We will never hire one person to work alone. Teens can be hired to work with the adults, but teens cannot be hired to work without adult supervision. We strive to keep our ratios as follows: 1 worker per 3 infants, 1 worker per 5 toddlers, 1 worker per seven elementary children and 1 worker per every Special Needs child if required.
Male workers will be hired to work with female workers only. This is for their protection.
No outside food items can be brought into the Kid’s Care rooms. Children will be given a Kid’s Care approved snack only. The workers will not be able to feed the children outside food items or provide a meal to a child.
The Providers may work only on church property while a ministry event occurs on church property. They cannot be hired to work in someone’s home even if there is a church function occurring in that home. They cannot be hired to work on church property while there is an event in someone’s home. They cannot be hired to work on church property while there is an event that begins or ends on church property but goes off-site for part of the event’s meeting time. This is due to all of the liability risks involved.
We pray that providing this policy gives you the opportunity to offer functions to your ministry groups with the security that knowing the participants’ children are safe and properly cared for. If you have any problems, please phone the church at 659-1349.
